Privacy Policy
1. Introduction
The Exterior Experts Ltd ("we," "us," or "our") is the Data Controller of your personal information. This policy explains how we handle data from homeowners ("Customers") and exterior cleaning professionals ("Cleaners") under the UK GDPR and the Data Protection Act 2018.
2. Information We Collect
- From Customers: Name, full property address, phone number, email address, property specifics (e.g., house type, number of storeys), and any property photographs or images uploaded by the customer to assist with the quoting process.
- From Cleaners: Business name, individual identification, public liability insurance documents, payment details, and portal usage data.
- Technical Data: IP addresses, browser and device types, and cookies. Strictly necessary cookies are always used; analytics and marketing cookies are only used if you consent (see section 7).
3. How We Use Your Information & Lawful Basis
- Lead Matching (Consent): We process Customer lead details, including property descriptions and uploaded photographs, to match you with local professionals based on your explicit consent given at the point of inquiry via our quote form.
- Contractual Necessity: We process Cleaner data to manage user accounts, process platform fees, and fulfil our marketplace service agreement.
- Legitimate Interests: We monitor platform security, prevent system circumvention, and optimise our hyper-local lead-matching algorithms.
- Marketing (Consent): If you tick the optional box on our quote form, we'll contact you by email or text about other exterior services we offer. This is separate from your quote request: you don't have to agree to it, and you can unsubscribe at any time using the link in our emails or by replying STOP to our texts. We never share your marketing preferences or contact details with Cleaners for this purpose.
4. The Marketplace Model (Data Sharing)
To provide competitive pricing and local availability, Customer contact details, job requirements, and uploaded property images are shared with a maximum of three (3) vetted Cleaners who operate within the target zone and purchase the lead. Once data transfer occurs, the receiving Cleaner becomes an independent Data Controller of that customer data package.
5. Data Retention
- Unconverted Leads: If a customer quote request is outside our active zones or goes unpurchased, we delete all personally identifiable information (PII) and associated images after 90 days.
- Purchased Leads: We retain transaction records, lead assignment data, and associated job images for up to 6 months to manage platform disputes, fee audits, and financial accounting.
- Cleaner Accounts: Data is retained for the duration of your active membership plus 6 years to comply with UK tax and company legal obligations.
- Marketing Contacts: If you've opted in to hear from us, we keep your name, contact details and service preferences until you unsubscribe, or for 3 years after your last interaction with us, whichever comes first.
6. Your Rights
Under UK law, you have the right to access, correct, restrict, or erase your data (including uploaded imagery), and to withdraw your processing consent at any time. To exercise these rights, contact our data compliance team at admin@theexteriorexperts.co.uk. You also hold the right to lodge a complaint with the Information Commissioner's Office (ICO).
7. Cookie & Tracking Disclosure
We use cookies and similar technologies to keep our marketplace secure, remember your login and, only with your consent, understand how our site is used and measure our advertising.
- Strictly Necessary: Essential for security and core functions, such as keeping Cleaners logged in and protecting our forms from spam. These are always on and don't require consent.
- Analytics (off unless you accept): Google Analytics 4 helps us understand how visitors use the site, for example which pages are visited and how many quote requests are completed. Microsoft Clarity records how visitors interact with pages, including clicks, scrolling and mouse movement, to help us find and fix usability problems. Clarity masks text you type into forms.
- Marketing (off unless you accept): Google Ads and the Meta Pixel measure whether our adverts lead to quote requests or cleaner sign-ups, so we can improve our campaigns across our coverage areas.
- Google Consent Mode: If you decline analytics or marketing cookies, Google tags still send limited signals that contain no cookies or identifiers, which Google uses to estimate overall advertising performance.
Managing Your Preferences: When you first visit, our cookie banner lets you accept all, reject all, or choose categories. Your choice is saved for 12 months. You can change it at any time using "Cookie settings" in the website footer.
8. Service Providers & International Transfers
We use trusted providers to run our platform, who process data on our behalf: Supabase (database and login), Netlify (website hosting), Resend (email delivery), Twilio (SMS notifications), Stripe (payments), Cloudflare (spam protection on our forms), Google (analytics and advertising), Meta (advertising) and Microsoft (Clarity analytics). Some of these providers are based in, or process data in, the United States. Where data is transferred outside the UK, we rely on recognised safeguards such as the UK International Data Transfer Addendum, Standard Contractual Clauses, or the UK-US Data Bridge.
